Assistant Director of Operations - New School, Vera List Center
The Vera List Center for Art and Politics (VLC) is a leading scholarly research center and public forum for art, culture, and politics. An initiative of the Schools of Public Engagement, the VLC serves a critical mission: to foster a vibrant and diverse community of artists, scholars, and policy makers who take creative, intellectual, and political risks to bring about positive change. An innovator in the field, the center was founded in 1992, and has since developed into a vibrant public platform for exhibitions, conferences, and publications featuring visual and performing artists, scholars and policy makers whose work is deeply invested in the arts and their impact on the political. The VLC seeks an Assistant Director of Operations who will be responsible for budget and financial management, daily center operations, development support, outreach, events, and publications. This position reports to the Director of the VLC.
This position is funded by and contingent upon external fundraising.
• Direct daily operations of the VLC including, but not limited to, budget management and oversight, tracking of expenditures, grants management and contract review, space planning, and equipment needs.
• Work directly with the Schools of Public Engagement Executive Dean’s Office and other central offices, as needed, on contracts and invoices relating to prize recipients, student and artist fellows, and independent contractors.
• Provide support for researching, drafting proposals, and developing budgets for new grants. Track reporting requirements, produce reports, and reconcile expenses throughout the life-cycle of all grants, including fund closure.
• Support VLC staff and TNS development office in identifying and implementing new revenue strategies, including those relating to earned income, institutional fundraising, and current and prospective donor cultivation.
• Maintain and update VLC archive and database of 11K+ individual records and 600+ event documentation
• Direct planning for all public programs and events.
• Facilitate communication between event partners and central offices, TNS, external vendors, and VLCstakeholders.
• Direct website maintenance and publication production.
• Hire, onboard, and supervise student workers.
• Establish and maintain timelines for all open projects within VLC.
• Track audience analytics and develop strategies to increase and deepen engagement of audience and key stakeholders in coordination with central offices.
• Serve as liaison to the VLC board and manages logistics of board-related programming and cultivation-related activities and events, including the biannual board meetings and annual retreat, receptions, and field trips.
• Represent the VLC in internal and external meetings, as appropriate.
• Perform additional tasks as assigned.
• Bachelor’s with related experience.
• Three to five years of administrative experience, preferably in a fast-paced academic or non-profit environment.
• High level of professionalism.
• Strong analytical abilities and technical skills; able to analyze and evaluate data, develop reports, and make recommendations based on analysis.
• Experience in conceptualizing goals; ability to direct and prioritize projects based on an understanding of department, college and university policies, and procedures.
• High level of computer proficiency in Microsoft Office, Adobe Creative and Google Docs.
• Ability to work effectively with faculty, students, administrators, alumni, donors, members of the public, and the University community.
• Strong attention to detail and demonstrated ability to multitask.
• Excellent written and verbal communication skills.
• Ability to work well under pressure, meet deadlines, problem solve; can work well both independently and in team-based settings.
• Ability to supervise staff and students.
• Ability to work in the evenings or on Saturdays as needed.
• Master’s degree in Arts Management or a related field.
• Experience with grant management and grant writing.
• Interest in social justice and diversity initiatives.
• Experience with digital communication, including publishing and social media.
