ASSISTANT REGISTRAR FOR COLLECTIONS MANAGEMENT (expected one year term) 

OVERVIEW: Incumbent supports the Department of the Registrar, which is responsible for maintaining records on all works of art owned by or entrusted to the care of the Seattle Art Museum; and for the location, safety, movement, and transport of these works of art, thus minimizing risks to the works of art and to SAM.  The primary purpose of this position is to assist with the relocation of works of art in conjunction with the Seattle Asian Art Museum renovation.

REPORTS TO: Director of Museum Services and Chief Registrar

ESSENTIAL FUNCTIONS:

Maintains up-to-date object locations in SAM collections management system (TMS), including reviewing relocation requests, updating locations, proofing updates, reviewing temporary locations and creating location reports. Investigates incorrect locations.

Assists with all aspects of internal, incoming and outgoing movement of works of art in conjunction with Seattle Asian Art Museum renovation.  Makes personal and extensive contacts inside the museum with Museum Services, Conservation, and Curators. Notifies all appropriate internal departments about the arrival or departure of shipments, as applicable. Arranges for internal movement of these objects and ensures that movement records are current.

Monitors internal relocations by the preparators and collections care personnel to ensure that movements are correctly documented. Conducts periodic audits of collections to ensure that locations are correctly recorded.

Updates object records in TMS, as directed. Undertakes data cleanup and proofing projects as needed.


Maintains a general knowledge of all procedures utilized by the Department of the Registrar.

Represents the Museum with a high level of integrity and professionalism, and adheres to Museum policies and supports management decisions in a positive, professional manner.

Assists Department of the Registrar staff in day-to-day duties and undertakes special projects as assigned, including assisting with registrarial activities in conjunction with exhibitions.

QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Proficiency in the use of computers for collection management, scheduling and communication purposes is required.  Experience with The Museum System (TMS) is greatly preferred.

Understanding of and familiarity with the various means of accomplishing local and national transportation, including an understanding of how different modes of shipping will affect various materials.

Current knowledge of museum registration techniques and practices, including basic knowledge of art history to verify and identify objects received, packing materials and methods, conservation, and fine arts insurance. Familiarity with conservation issues, terminology, and condition reports.

The incumbent must possess good organizational, strong verbal and written communication skills.  The incumbent must be organized and able to prioritize job duties; skilled at trouble shooting and problem solving; and be flexible and able to deal with multiple, last-minute deadlines. Ability to work with close attention to detail.

Incumbent must be able to anticipate and resolve problems that may arise by exercising independent judgment.

Bachelor’s degree in Liberal Arts, Art History or Museum Studies. 

Three (3) years of experience in museum registration.
