Reports to: Deputy Director for Education and Department Manager


Administrative support to the Deputy Director:

  • Serves as the administrative support to the deputy director.

  • Maintains calendar, schedules meetings, and arranges travel.

  • Drafts correspondence, updates, and presentation materials for the deputy director.

  • Manages budget for the deputy director, including expense reconciliation.

  • Fulfills research projects or special assignments for the deputy director as assigned, and acts as first point of contact for their projects.

  • Organizes the Trustee Committee on Education meetings twice a year, including acting as liaison and point of contact, drafting emails for communication, event planning for the committee’s events and meetings, and taking and maintaining of records of committee meeting discussions.

 Administrative support to the department:

  • Manages the schedule of education spaces, including classrooms, mezzanine, lobby, and theater.

  • Attends weekly operations meetings to discuss Education programs.

  • Manages space bookings for departments outside Education.

  • Acts as education building liaison for all departments related to operations and events throughout the Museum.

  • Prepares department reports, reporting, and collecting data. Updates the Education section of the staff site as needed.

  • Works with department manager and coordinator to organize departmental initiatives and task forces, including monthly department meetings, special events, and others.

  • Performs any other duties reasonably related to the functions described above.


  • Scheduled Work Hours: Monday–Friday, 9:30–5:30 p.m.; Occasional evenings as required

  • Bachelor’s degree; business or arts administration degree preferred

  • Minimum three years work experience; knowledge of standard office practices and procedures required

  • Strong interpersonal skills, as this job requires frequent interaction with a wide array of individuals both inside and outside of the organization

  • Excellent communication, writing, and editing skills required

  • Solid organizational and project management skills. Must be detail-oriented, with the ability to meet deadlines in a rapidly moving environment.

  • Ability to work collaboratively as well as independently

  • High degree of diplomacy and discretion required

  • Proficiency with MS Office applications and excellent technical skills

  • Prior experience managing budgets is preferred.

  • Knowledge and appreciation of modern and contemporary art is preferred.
