Institutional Giving Coordinator - Seattle Art Museum

OVERVIEW: Support the Institutional Giving Department and oversee discrete projects within this program.

ESSENTIAL FUNCTIONS:

Support corporate sponsorships and corporate grants, in-kind giving, capital campaign programs, and annual corporate support programs.

Coordinate aspects of the Corporate Membership program including stewardship, solicitation and engagement of donors, and preparation of all correspondence including acknowledgment, acquisition, and renewal letters.

Manage exhibition and program credit lines for corporate, foundation, and individual sponsorships. Ensure that corporate donors have approved these credit lines, communicate credit lines internally, and execute in such a way that they fulfill promises SAM has made.

Conduct research for corporate prospects and identify possible alignment with SAM.

Coordinate fulfillment obligations and promises for all corporate supporters; maintain fulfillment tracking systems and provide liaison with Museum departments.

Prepare sponsorship proposals, agreements, and fulfillment reports, as directed by the Institutional Giving Officer. Prepare a limited number of corporate grant applications.

Pull lists of corporate and grants donors for various development event invitations and annual recognition.

Organize cultivation and donor acknowledgement events for corporate program, primarily for Corporate Members.

Prepare monthly report on program performance compared to budget and prior year.

Draft copy for SAM publications regarding the corporate program including Corporate Member enews, website, and evites.

Maintain effective donor relations; coordinate gift processing, provide timely gift acknowledgment, and respond to donor correspondence and telephone calls.

Maintain the comprehensive filing system for the corporate department. Monitor, record, and update all corporate constituents in Raiser’s Edge Database.

Be familiar with corporations that fund the Museum and monitor the funding cycle for those organizations.

Represent the Museum with a high level of integrity and professionalism.

Provide additional support when needed.

QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

BA/BS or equivalent combination of education/experience.

2+ years relevant, professional work experience, preferably in a not-for-profit setting supporting an executive level manager.

Excellent interpersonal, written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.

Demonstrated proficiency and accuracy using MS Office products, including Word, Excel, Access, Outlook, and other software programs. Working knowledge of Raiser’s Edge a plus.

Ability to take initiative and prioritize tasks; excellent time-management, problem- prevention, and problem-solving skills.

Ability to represent the Museum with a high level of integrity and professionalism.

Organizational ability.

Ability to work with close attention to detail and to maintain confidentiality of sensitive information.

Demonstrated ability to establish and maintain effective relationships with Board members, key donors, executives, management, employees, and the public.

Ability to adhere to Museum policies and to support management decisions in a positive, professional manner.
