Membership Associate/Clerical Associate IV - Brooklyn Botanic Garden

Brooklyn Botanic Garden’s membership associate is part of a 15-person department that is responsible for raising approximately $6 million in annual operating support from a variety of funding sources. This position reports to the director of Membership and senior coordinator of Membership. The associate is a key part of a four-person team that serves over 18,000 member households and raises approximately $2 million+ in membership revenue through multichannel direct mail campaigns, online solicitation, on-site sales, and member events, with a goal of increasing net revenue and growth in the membership base. In this high-volume membership office, the associate must possess excellent organizational, customer service, writing, and computer/data management skills. S/he will also work with other department staff to support fundraising efforts in other areas as needed.

Primary Responsibilities:

Act as primary phone and email contact for all questions concerning Membership, providing timely and efficient customer service to the 18,000+ membership base via telephone, email, mail, and in person. Duties include, but are not limited to, answering questions regarding benefits and general information; processing requests for replacement membership cards and missed publications; fielding general complaints and queries; and renewing, upgrading, and selling memberships by phone. 

Produce and maintain inventory of printed benefit, retention, and acquisition materials including brochures, postcards, membership cards, and renewal notices.

Renew and solicit new local businesses’ participation in the members’ discount guide. 

Assist with production of Plants & Gardens members’ newsletter and monthly e-newsletters. 

Play an active role in generating content for monthly e-news and special email appeals to current members.

Supervise the on-site membership sales program, and assist the database coordinator with processing on-site sales transactions and updated member lists. 

Coordinate renewal notices for Garden Circle, gift giver, and club renewals, and ensure timely production and mailing. Run queries and exports of data files as needed. 

Provide administrative support for membership events and day-of logistics support.

Maintain membership database and printed records, including creating new records and files, making address and coding changes, and updating information to ensure clear, complete, and up to date records.

Maintain inventory of office supplies.

Play active role as part of the larger Development team to strategize new ways to increase revenue for the Garden.

Assist with donor cultivation events, fundraising events, membership on-site sales, and other special projects as needed throughout the year. 

Perform other duties as assigned by supervisor.

Qualifications:

Excellent organizational, writing, and computer skills required
Experience with Raiser’s Edge or other database desired

Nonprofit experience or strong interest in cultural institutions, environment, education, and/or science preferred
Possession of high level of motivation and energy, with ability to juggle multiple projects, set priorities, and meet deadlines 

Detail-oriented with ability to work independently and as part of a team, as well as interact with donors and staff at all levels

Availability to work evenings and occasional weekends, particularly during the Garden’s peak season (March–October)
Ability to work outside as well as lift and carry membership and event materials as needed
