Operations Coordinator - University of Michigan Museum of Art

Salary Range: $35-40,000 (100%)

The University of Michigan Museum of Art (UMMA) seeks a dynamic, highly motivated, and collaborative individual to join the Operations department. The Operations Coordinator is responsible for managing a variety of revenue-related and financial duties and reports to the Administrative Manager.  These duties include tasks in the areas of UMMA events, physical facilities, earned income, finances, and human resources. S/he will work on other related special projects as required.

Characteristic Duties and Responsibilities

The duties of the Operations Coordinator will include:  

Earned Income

Facilities and Events

Provides support to and coordinates activities with the Facilities Manager. S/he will be responsible for managing the event rentals earned income program, analyzing trends, and making recommendations for changes as needed. Will work to maintain a balanced rental program v. UMMA’s own programming needs. Reviews and reconciles DPSS security invoices and schedules. Provides support to the Asian Conservation Lab for outside sales, the UMMA Store for staffing and financial assistance, and the UMMA Café as needed and directed by the Administrative Manager. 


Monitors and tracks all unit income and expenses from inception to payment through the Museum's internal accounting system. On a monthly basis, reviews and verifies transactions, classifications, and monitors departmental accounts with the University Statement of Activity Reports. Will maintain all files that support account activity. Will enter vouchers and PO requests into the M-Pathways system.  Will manage Accounts Receivables and prepare invoices, late notices, and aging reports. Other duties include maintaining a spreadsheet to track Museum attendance, earned income from the donation boxes, ordering office supplies, maintaining office equipment and supplies, postage meter, and works with the University’s Shared Services Center (SSC) to resolve problems as needed. 

Human Resources and Administration

Will work with the Deputy Director, Chief Administrative Officer to recruit a diverse, highly qualified pool of applicants, review and keep updated position descriptions, assist with searches and site visits for applicants, maintain updated procedures for all hires and terminations, and complete all human resources transactions for the Museum. S/he will work with the SSC as needed. 

Will work with the Administrative Manager and other staff on special projects as needed.

Required Qualifications

A bachelor’s degree and at least three years’ experience working in a business-related field, or equivalent education and experience, is required. Must be able to work with a diverse customer base and project an image of excitement and interest in the Museum of Art and its mission.  Must have financial acuity and the ability to work independently. Must demonstrate the ability to work in a matrix environment. Must be reliable and dependable and must be able to work a schedule complimentary to the Administrative Manager.

Desired Qualifications

Some experience with Quickbooks a plus. Previous University of Michigan experience preferred.
