Program Coordinator of Development - Nasher Museum of Art at Duke University

The Program Coordinator of Development for the Nasher Museum of Art at Duke University plans, coordinates and administers highly personalized donor communications and stewardship.  In addition to supporting the Director of Development & Major Gifts, the Program Coordinator of Development also manages development team projects, fosters team efficiency through administrative organization and liaises with museum and university colleagues to advance Nasher development strategies and objectives. This position also allows the Director of Development & Major Gifts to be externally focused on program management, fundraising and donor cultivation and stewardship.

Work Performed:

50%     Stewardship & Impact Reporting

·         Maintain stewardship of donors, including tracking donors in Nasher Museum’s database in conjunction with Duke’s Alumni Development Database (DADD); pipeline development; shape and continuously evaluate and improve donor experience; enhance cultivation and stewardship strategies for current and prospective leadership donors.

·         Develop and implement additional donor stewardship strategies (beyond standard/timely gift acknowledgement), including but not limited to annual recognition of current/new donors and members, annual recognition of higher-level donors, notification when gifts of work are included in a Nasher Museum exhibition or installation, real-time special recognition of first-time donors and members and additional stewardship of exhibition supporters.

·         Provide customized acknowledgements for upper-level donors and donors of gifts of work, seamlessly crafting text reflective of the voice, style and donor relationships of the Museum Director as well as the Director of Development & Major Gifts.

·         Plan, coordinate and manage administrative and project-oriented activities.

·         Focus on developing and delivering projects, reports and analysis to advance fundraising for prioritized initiatives.

·         Assist Director of Development & Major Gifts in prospecting for travel, solicitation and stewardship projects.

·         Support annual stewardship activities including stewardship of endowed and non-endowed funds and capital projects for principal/top donors, and ad hoc stewardship requests

·         Facilitate the personalized student letter project. Request, review, format and proof personalized student letters to be sent to top donors throughout the year.

·         Provide stewardship contact to top donors, as needed.

·         Facilitate preparation and compilation of comprehensive stewardship reports and customized financial reports for top donors.

·         Assist with planning and management of events which recognize donors and faculty members.

·         Prepare standard materials for stewardship activities including producing letters, gaining appropriate signature, tracking progress and ensuring timely delivery.

·         Assist with editing and proofreading of development materials, reports and correspondence, as required.

25%     Engagement & Retention

·         Assist in enhancing and developing membership policies and procedures in collaboration with the Annual Fund and Membership Officer.

·         In partnership with the Director of Development, refine and articulate funding opportunities and priorities using donor-focused language.

·         Serve as an additional point of contact and content expert to University Development on Nasher giving opportunities.

·         Prepare development team materials, including writing and editing presentations, proposals and other materials for distribution or publication.  Serve as point of contact for museum Marketing Department and University Development for production of development materials.

·         Participate in professional training and development courses offered at Duke University for DADD database as well as other donor relations, engagement and stewardship trainings or conferences regionally or nationally.

25%     Acknowledgment & Recognition

·         Oversee acknowledgement, recognition and sustained stewardship processes.

·         Communicate development standards to ensure a consistent donor thank you experience

·         Implement broad strategy for development and endowed gift recognition and for donors to include a singular giving society.

·         Research and recommend new and innovative stewardship programming to promote continued/future giving, and manage gift acknowledgement and recognition, including letters, press releases, events, plaques and custom recognition activities and gifts.

Skills Required:

·         Excellent attention to detail, sound judgement and experience handling confidential information

·         Strong communication skills, especially in written form

·         High-level understanding of customer service priorities and objectives, as well as essential interpersonal skills to build donor and colleague relationships

·         Ability to manage multiple priorities simultaneously, working both independently and as a team member

·         Keen sense of personal initiative and eagerness to deliver results of the highest quality

·         Understanding of conventions of project management, fundraising/development and donor relations

·         Knowledge and expertise using MS Office products, Excel, DADD and especially Outlook

·         2-3 years of relevant development experience preferred

·         Use knowledge of advancement database systems and fundraising best practices

·         Use data collection and reporting for establishing and evaluating success metrics around the team’s direct and indirect impact on fundraising for core partners, service provision to core and consulting partners and interaction with frontline fundraisers.

·         Work with Director of Development & Major Gifts to develop a suite of standardized and customized reports, identifying efficiencies that can be gained by partnering with internal development partners like PRMA

·         Assist in arranging and coordinating donor visits and tours on campus, etc.

·         Occasional evening and weekend hours may be required
